Administrative Associate (North America)


2 years commitment, full time


Medic Mobile builds mobile and web tools that help health workers provide better care that reaches everyone. We are focused on identifying and addressing the highest-impact mobile use cases, currently: antenatal and postnatal care, childhood immunizations, stock monitoring for essential medicines, and disease surveillance. We help partners implement mobile tools for these priority use cases to amplify their impact.

Administrative Associate

The Administrative Associate will focus on supporting Medic Mobile’s daily operations and leadership team. We are seeking an exceptional professional who is passionate about our mission and is excited to execute on detailed, foundational work that helps our organization run better. As our organization grows, the Medic Mobile leadership team is in need of a highly organized teammate to support administration, internal systems, communication, and special projects. These detailed tasks are key to our continued growth and impact. The Administrative Associate will work directly with our global team and support our CEO and COO with mission-critical work as it arises. The Administrative Associate will also help with HR support, travel coordination, scheduling and alerts for key events, and external communications. This role requires a dynamic professional who is able to work across functions and execute on the daily details of managing a growing non profit. We are looking for a teammate with superb organizational and interpersonal skills who is excited about improving efficiency, implementing systems, learning more about global health and technology, and furthering our impact.

The Administrative Associate will be based in North America. We have offices in San Francisco, Nairobi, and Kathmandu. Approximately 30% of our teammates work remotely and we are open to discussing work locations. This position will report to the COO.

Key activities

50% Supporting daily administrative duties at Medic Mobile (Travel planning, meeting coordinating, logistics, HR)  

25% Grant management (Tracking deadlines for submissions and reporting schedules)

15% Social media support (Helping our communications team with social media)

10% Office support (Procurement, management of space, supplies)


  • Manage and administer daily operations of internal systems (Asana, Drive, intranet, salesforce, etc)
  • Support team meetup planning, scheduling, travel
  • Organize minutes and ensure follow up actions are executed
  • Manage logistics between our three offices (shipping, event coordination)
  • Proactively manage inventory and collateral for all three MM offices
  • Special project research in line with leadership priorities


  • Manage our social media accounts
  • Track and coordinate our presence across multiple communications platforms
  • Plan and support the development of new content for website, newsletter, blog, twitter, Facebook and coordinate with regional offices to encourage storytelling

Grant management and reporting

  • Design and implement a grant management system in our SalesForce system
  • Help draft reports with CEO/COO support
  • Ensure that Medic Mobile is proactively sharing updates with our partners and donors

Preferred Qualifications

  • Bachelor’s in public administration, non-profit management, or other management disciplines
  • 1-3 years work experience with a social enterprise focused on low-resource settings, or experience with a mission oriented small business
  • Approaches service with humility and inclusivity
  • Proactive approach to meeting deadlines, ability to manage conflicting priorities, monitor and follow-up on pending matters with minimal supervision
  • Demonstrates patience and solutions-oriented approach to challenges
  • Strong interpersonal skills and ability to develop relationships across stakeholders and teams
  • Clear and concise oral and written communication skills
  • Task oriented, exceptional organizational skills and attention to detail
  • Exhibit empathy and respect for other cultures
  • Ability to handle sensitive information with integrity and confidentiality
  • Experience with Salesforce or CRM a plus
  • Fluent in English
  • Legal ability to work in the US
